It’s like, you open it up and you’re just hoping you haven’t missed a refresher date or lost a certificate somewhere in the mess. But the risks are real—if you miss something, it’s not just a bit embarrassing, it can actually put your compliance and reputation on the line.

Yeah, and I’ve gotta say, I learned that the hard way. Early in my career, I was working with a small provider, and we had this spreadsheet that was, well, let’s just say it was more colourful than accurate. We got the dreaded audit call, and suddenly we were scrambling—digging through emails, trying to find certificates, and honestly, I thought we were done for. That stress? It’s what got me obsessed with getting compliance sorted and organised.

That’s such a common story, Will. And it’s not just about ticking boxes. The NDIS Practice Standards and Code of Conduct are really clear—there’s core training every worker needs. We’re talking incident management, complaints handling, participant rights and dignity, and then all the role-specific stuff like manual handling, infection control, medication assistance, and so on.

Exactly. And it’s not just about doing the training once, either. Auditors want to see that everything’s up to date—so those annual refreshers, they matter. If you’re just relying on memory or a messy spreadsheet, it’s way too easy to let something slip through the cracks.

And as we talked about in our episode on role-specific training, it’s not one-size-fits-all. Support workers, admin, coordinators—they all have different requirements. So, keeping it all straight is a big job, but it’s absolutely essential for safe, high-quality care and smooth audits.

Digital Solutions for Smarter Tracking

So, let’s talk about how to actually make this easier. There are some really solid digital tools out there now—way better than a spreadsheet. You’ve got Learning Management Systems, or LMSs, like Thinkific, Moodle, EasyLMS. These are built for tracking training, and some are even tailored for NDIS compliance.

Yeah, and then you’ve got HR compliance apps—Employment Hero, Deputy, BrightHR. They’re great if you’re already using them for rostering or payroll, because you can just add training tracking into the mix. What I love is that these systems can send automated expiry reminders, generate certificates, and give you a dashboard to see who’s up to date and who needs a refresher.

That’s the game-changer, right? No more chasing people up or realising at the last minute that someone’s first aid has expired. The system just pings you, and you’re sorted. And for teams that are growing or have a bit of staff turnover, it’s a lifesaver.

I’ve got a great example of this. There was a small provider I worked with—just a handful of staff, but they were drowning in spreadsheets. They switched to EasyLMS, set up automated reminders, and suddenly, when their next audit rolled around, they had everything ready to go. The auditor was actually impressed by how organised they were. It was such a turnaround from the stress they’d had before.

And if you’re not ready for a full LMS or HR app, you can still do a lot with shared cloud folders—Google Drive, Dropbox. It’s not as slick, but if you set up a folder for each staff member and use Google Calendar for reminders, it’s a big step up from a static spreadsheet. Especially for sole traders or really small teams just starting out.

Absolutely. The main thing is to have a system that works for your team and actually helps you stay on top of things, not just create more admin work. And, like we said, those automated reminders and certificate uploads can really take the pressure off.

Building a Proactive Training Culture

So, once you’ve got the right tools, it’s about building a culture where training isn’t just a checklist, but something everyone’s engaged with. I reckon a training calendar is a brilliant way to do this. Instead of scrambling at the last minute, you’ve got everything mapped out—like, January is Code of Conduct, March is manual handling, July is behaviour support, and so on.

And it’s not just about the calendar, either. Getting staff involved in tracking their own compliance makes a huge difference. If people can access their own records—whether it’s through an LMS or a shared folder—they’re more likely to keep things up to date and let you know if something’s about to expire. It’s a lot more professional, and it really boosts accountability.

Yeah, and I’ve seen firsthand how this can lift team morale.
